Agreement Overview

By registering for a tour with Mind&Hand Educational Tours (ABN 38664382656), you acknowledge and agree to the following Terms and Conditions. These terms constitute a binding agreement between you (the participant or legal guardian) and Mind&Hand Educational Tours

Pricing and Payment

Tour Prices: All prices are quoted in Australian Dollars (AUD) and are subject to change due to factors such as currency fluctuations, fuel surcharges, and changes in taxes or fees. The full tour price must be paid in order to secure your seat on the tour.

Surcharges: We aim to maintain a fixed tour price, but surcharges may still apply due to factors beyond our control, such as increases in transportation costs, taxes, service fees or fluctuations in currency exchange rates

Payment Methods: Payments can be made via bank transfer or credit card. Please note that credit card payments may incur a surcharge.

We reserve the right to correct any pricing errors or omissions at any time. All prices are per person and may be subject to minimum group numbers unless otherwise specified.

Cancellations and Refunds

Cancellations by participant: If you wish to cancel your booking, please notify us as soon as possible by emailing admin@mindnhand.com.au. Cancellations will only be considered effective once we receive written confirmation from the person who signed and confirmed the booking. The following cancellation charges will then apply:

Cancellations made more than 90 days before departure: A full refund will be issued, less a $200 administration fee.
Cancellations made 61–90 days before departure: 50% of the tour cost is refundable.
Cancellations made 31–60 days before departure: 25% of the tour cost is refundable.
Cancellations made 30 days or fewer before departure: No refund will be provided.
Substitutions or transfers of travellers are allowed up to 4 weeks before the tour departure date. Cancellation fees will apply according to the policies of airlines and other service providers. Additional charges may also apply if substitutions impact the group’s gender balance or rooming arrangements.

Mind&Hand Educational Tours reserves the right to cancel the tour under the following circumstances:

Safety concerns, including but not limited to natural disasters, political instability, or pandemics.
Not meeting the minimum enrolment requirements.
A full refund of all payments made, or the option to transfer your booking to a rescheduled or alternative tour in the event of cancellation.
Costs associated with flights, visas, travel insurance, and personal expenses are the responsibility of the participant.

Itinerary Flexibility

Due to the nature of educational travel, all itineraries should be considered flexible guides rather than fixed schedules. While we make every effort to follow the published itinerary, changes may occur due to unforeseen circumstances, including but not limited to weather conditions, transportation delays, mechanical issues, local political situations, border restrictions, or other force majeure events (e.g., war, civil unrest, pandemics, or natural disasters).

Mind&Hand reserves the right to modify tour details before or during travel. Any significant changes, such as major alterations to flight times, accommodation standards, or departure points, will be communicated as early as possible.

If an activity must be cancelled, a replacement activity of equal or similar value will be offered. If alternative arrangements cannot be made or are reasonably declined, a refund may be issued for unused services.

Please note that the timing of flights, ferries, trains, and buses are approximate and may change due to operational or environmental factors. Certain activities are subject to weather conditions; in the event of cancellation, a replacement activity of equal value will be arranged where possible.

Travel Insurance

All participants are strongly advised to obtain comprehensive travel insurance that covers irrecoverable costs as well as any additional coverage they may require.

Please note that this recommendation is supplementary to our cancellation policy and does not guarantee a refund for cancellations made after the specified deadlines.

Passports and Visas

It is the participants responsibility to ensure they hold valid and correct documentation for travel, including passports and visas. The tour package does not cover any associated costs for obtaining these documents. These expenses are the sole responsibility of the participant.

Mind&Hand Educational Tours cannot be held liable for any consequences, additional costs, or penalties resulting from failure to comply with travel documentation requirements. While we aim to keep participants informed of relevant regulations, it is strongly advised that you confirm current entry requirements with the appropriate Embassy or Consulate.

Participants are responsible for ensuring they meet all entry requirements for each country included in the tour. Failure to present valid documentation may result in denied entry, and in such cases, we accept no liability for any resulting loss, damage, or unused tour components. Please also note that some countries may deny entry to individuals with a criminal record; if this may apply to you, consult the relevant authorities in advance.

The participants are fully accountable for ensuring their own travel documents are valid and compliant. We cannot accept responsibility for any failure to do so.

Health

All participants must ensure they are physically fit and capable of completing the itinerary as outlined.

Medical Conditions: Participants must inform Mind&Hand of any medical conditions, allergies, or dietary requirements at the time of booking. While we can provide general guidance, we are not medical professionals. It is your responsibility to seek appropriate medical advice at least four weeks before travel. Failure to do so may result in denied entry, illness, or other consequences, for which Mind&Hand is not liable.

Fitness to Travel: Anyone with a disability, mobility impairment, or ongoing medical treatment must disclose their condition and make suitable arrangements for any medication or medical needs during the tour. Failure to disclose such information constitutes a breach of these booking conditions and may result in exclusion from the tour, in which case all payments made will be forfeited.

Safety

Mind&Hand carefully selects trained and experienced staff to lead tours. In some cases, local guides may be engaged and will be thoroughly vetted to ensure they meet our standards.

The tour leaders are responsible for maintaining appropriate conduct among participants throughout the tour and must ensure adequate supervision at all times. All participants are expected to comply with local laws, behave respectfully, avoid causing damage to property, and refrain from any behaviour that may cause offence or disruption.

Should a participant engage in illegal activity or, in the sole judgment of the tour leader, behave in a way that causes danger, disruption, or significant distress to others, Mind&Hand reserves the right to immediately terminate that individual’s participation in the tour. In such cases, no refund will be provided for unused services, and any resulting costs (including transport, accommodation, and related expenses) will be the participant’s responsibility.

Participants are also responsible for any damage, loss, theft, or additional cleaning fees incurred to accommodation, transport, or other facilities. Mind&Hand or its suppliers may charge such costs to the participant.

Mind&Hand will assist participants in obtaining mobile internet access. Participants must remain contactable throughout the tour to allow Mind&Hand tour leaders to maintain communication and ensure everyone’s safety at all times.

Liability

Mind&Hand commits to exercising the highest skill and care in arranging the services and facilities outlined in your tour program. However, please be aware that standards of safety, hygiene, and service may vary among different suppliers and regions. While we ensure all services comply with local regulations and strive to uphold the highest standards and safety requirements, we cannot be held responsible for the actions or omissions of third-party providers.

Some regions included in the tour may have accommodation, transport, medical facilities, or infrastructure standards that differ from what you may be accustomed to. By booking, you acknowledge and accept the potential risks inherent in this type of travel, including injury, illness, loss or damage to property, inconvenience, and discomfort.

Optional activities not included in your tour package are contracted directly between you and the activity provider. Participation in these activities is at your own risk, and any complaints or claims should be directed to the respective provider.

Complaints

All complaints should be reported to the tour leaders immediately, in a calm and respectful manner, to allow us the opportunity to address them promptly and effectively. We will make reasonable efforts to resolve any concerns brought forward while on tour. Participants acknowledge that Mind&Hand will not accept liability for claims received after the tour has concluded.

Special Requests

It is your responsibility to inform us of any special requirements. We will endeavour to accommodate requests, including dietary needs and specific rooming arrangements, at the time of booking and will advise you of any additional charges. While we strive to meet these requests, we cannot guarantee fulfillment due to local constraints.

Acceptance of Terms

Participants, or a parent/guardian for those under 18, confirm that the signatory is authorised to act on the participant’s behalf. All parties acknowledge and accept the terms and conditions outlined above.

For participants under 18, the parent or guardian assumes full responsibility for all tour payments and agrees to ensure that accurate information regarding the tour package is provided to the participant.

Any changes to these booking terms and conditions must be made in writing and approved by Mind&Hand Educational Tours.

By signing the travel agreement and submitting the deposit, you confirm that you have read, understood, and agreed to these Terms and Conditions.
